Maintenance Scheduler/Planner - Sabetha, KS
This is a full-time, exempt level role.

Position Summary:
The Scheduler/Planner's primary function is to improve work force productivity through the coordination of labor, parts, materials, tools, and equipment access. The Scheduler/Planner will prepare the most efficient daily and weekly schedule within the Computerized Maintenance Management System (CMMS) and work to gather documentation, work area access, and any other items necessary for planned work. The Scheduler/Planner orchestrates the priority, order, and use of all crafts personnel with the guidance from the Maintenance Manager.

Duties and Responsibilities
  • Working in conjunction with the Maintenance Manager, construct the fully completed daily, weekly, and monthly schedule. The projected monthly schedule is to be maintained daily.
  • Create for the use of the maintenance work group complete and accurate planned work packages. Work packages will include estimated man-hour requirements, special skill requirements, drawings, manuals, special procedures, bills of material, materials, special tools or equipment, permit and inspection requirements, safety evaluation, and pre-job safety checklist.
  • Schedule all planned work orders to 100% workforce loading and full utilization of all crafts, daily.
  • Assure that there are no constraints regarding parts, equipment, and or internal/external workforce, prior to placing any work order on the schedule such that all false job starts are prevented.
  • Continually network and communicate with the Supervision, Planning and Materials Coordination.
  • Maintain the spare parts inventory and work with Engineers and Maintenance Supervision to assess and maintain the critical spare inventory.
  • The complete and final weekly schedule will be delivered to the appropriate Maintenance Supervision, prior to Friday and considered unchangeable in any fashion. This establishes the timing from which all metrics related to scheduling performance are calculated.
  • Breakdown complex work requirements into individual and logical steps.
  • Allocate time to Major Job Plans Steps in fractional hours, 0.1 hrs or greater and to establish time scales that are reasonable, and the minimum required to perform the work both safely, quality and customer satisfaction as paramount.
  • Based upon the detailed job plan, identify the required materials from either stores or external suppliers. Should external suppliers be required, prepare the needed purchase orders.
  • Based upon the detailed job plan, identify the required Specialty Services from external suppliers. Prepare the needed purchase orders or release documents.
  • Receive and review for completeness, authorized work orders. Correct and review as necessary based upon a field check of the work order at the work location.
  • Ability to assess and assign appropriate skill level to tasks so as to provide the most cost-effective service.

Accountability
The following individual measures for success are the responsibility of the Scheduler / Planner
  • Comparisons of estimated work order cost versus actual work order costs
  • Scheduling delays due to poor craft coordination
  • Number of full job packages placed into the job library
  • Fully Planned Work Orders in the Job Backlog
  • Ratio of Work Orders placed on the Schedule that are fully planned as a percent of all work orders
  • Available workforce scheduled as a percent of available manpower
  • 100% loaded weekly schedule.
Minimum Qualifications
  • Working knowledge of trades classifications and functions including tools and materials, and task specific sequencing required for maintenance and repairs and preventative maintenance tasks.
  • Prior use and interpretation of maintenance or facility maintenance union contracts and vendor contracts applicable to job task assignments.
  • Use of safety measures and the understanding of OSHA regulations for construction and trade work.
  • Excellent communication, interpersonal and customer service skills.
  • Demonstrated proficient use of various computer programs.
  • Experience with interpreting blueprints, diagrams, and manuals.
  • Strong team-working skills and beliefs in the benefit of teamwork and adherence to work processes.
  • Accurate and acute written and oral communications skills
  • Ability to coach and mentor peers, and to share among peers newly found or developed skills, techniques, and improvements.
